Marketing

Business communications and profiling

We may send relevant business communications to professional contacts where you have consented or where applicable law allows us to rely on legitimate interests. We provide an unsubscribe option and honour objections to direct marketing.

We may use website engagement, company information and public professional information to prioritise accounts and tailor business communications. We do not make decisions based solely on automated processing that produce legal or similarly significant effects on you.

Sharing

Who receives personal data

We may share personal data with the other Rubik entity and with carefully selected providers that support hosting, forms, email, customer relationship management, analytics, advertising, visitor identification, video, security, professional advice and business administration.

Current website technologies include Ploy, Google, Meta, LinkedIn, RB2B and YouTube. The cookie policy records the device technologies currently expected to operate on the site.

We may also disclose information where required by law, to regulators or law enforcement, during corporate transactions or to establish, exercise or defend legal claims. We do not sell personal data.

International transfers

When information leaves the UK or EEA

Some providers process information in countries outside the UK or European Economic Area. Where required, Rubik uses an adequacy decision or approved contractual safeguards such as the EU Standard Contractual Clauses, the UK International Data Transfer Agreement or the UK Addendum. We may also apply supplementary technical and organisational measures.

Contact us if you would like more information about the safeguard used for a particular transfer.

Retention

How long we keep information

  • Website enquiries and early-stage prospect records are normally reviewed after 24 months without meaningful engagement.
  • Customer, supplier and contractual records may be kept for up to seven years after the relationship ends where needed for legal, tax, accounting or claims purposes.
  • Marketing records are kept while communications remain relevant. We retain a minimal suppression record after an unsubscribe so the preference can be honoured.
  • Cookie consent choices are stored for up to six months. Analytics and marketing identifiers follow the periods listed in the cookie policy.
  • Security logs are retained for a proportionate period based on risk, investigation and operational needs.

We may keep information for longer where law, litigation, an investigation or a regulatory obligation requires it.
